You have decided to order custom keychains for your next event or campaign — now comes the part that trips up most first-time buyers: getting your logo and artwork ready for production. A poorly prepared design file can delay your order, increase costs, or result in a final product that does not match your expectations.
This guide walks you through the entire design process, from choosing the right file format to optimising your logo for different keychain customisation methods. Whether you have a professional design team or you are working with a logo you downloaded from your company’s shared drive, you will know exactly what to prepare before placing your order.

Step 1: Understand the File Format Requirements
The file format you provide has a direct impact on print quality. Here is what works for each customisation method:
| Customisation Method | Preferred Format | Acceptable Alternatives | Not Accepted |
|---|---|---|---|
| UV Printing (acrylic) | AI, EPS, PDF (vector) | PNG at 300 DPI minimum | JPEG, low-res screenshots |
| Laser Engraving (metal, wood) | AI, EPS, PDF (vector) | High-contrast PNG | Multi-colour raster files |
| Embossing (leather) | AI, EPS, PDF (vector) | High-contrast PNG | Colour files, gradients |
| Die-Cast / Enamel (metal) | AI, EPS, PDF (vector) | None — vector required | All raster formats |
| 3D PVC Moulding | AI, EPS, PDF (vector) | High-res PNG with colour specs | Low-res images |
Golden rule: Vector files (AI, EPS, PDF) are always preferred because they can be scaled to any size without losing quality. If you only have a raster file (PNG, JPEG), make sure it is at least 300 DPI at the intended print size. When in doubt, send what you have — our design team can advise on whether it is usable.
Step 2: Simplify Your Logo for Small-Scale Reproduction
A keychain is typically 40–60mm in its longest dimension — much smaller than a business card. Logos that look great on a website or brochure often lose clarity at keychain size. Here is how to adapt your logo for small-format printing:
Remove Fine Details
Thin lines, small text, and intricate patterns will not reproduce clearly at keychain size. Strip your logo to its core elements — the icon and your company name in a clean, bold typeface.
Increase Stroke Weight
Any lines in your logo should be at least 0.5mm thick at the final print size. Thinner lines risk disappearing entirely, especially with laser engraving and embossing.
Use Your Icon Mark (Not Full Logo)
If your full logo includes a tagline or lengthy company name, use just the icon mark (symbol) on the keychain. You can add the company name on the reverse side if the keychain supports double-sided customisation.
Test at Actual Size
Print your logo at 40mm × 40mm on paper and hold it at arm’s length. If any element is hard to read or looks cluttered, simplify further. This simple test saves revision rounds.
Step 3: Adapt Your Design for the Customisation Method
Each printing and branding method has specific design constraints. Preparing your artwork to match the method avoids delays and ensures the best result.
For UV Printing (Acrylic Keychains)
This is the most forgiving method — it supports full-colour designs, photographs, gradients, and complex artwork. Supply your design in CMYK colour mode for accurate colour matching. Include a 2mm bleed around the edges if your design extends to the edge of the keychain. This is the standard method for acrylic keychain printing Malaysia orders.
For Laser Engraving (Metal & Wood)
Laser engraving works in a single “colour” — it either engraves or it does not. Convert your logo to a high-contrast black-and-white version. Remove all gradients, shadows, and colour fills. The engraved areas will appear as a lighter shade on metal or a darker burn mark on wood.
For Embossing / Debossing (Leather)
Embossing creates a raised impression and debossing creates an indented one — both from a single metal plate. Your design must be a solid shape with no gradients, no thin lines, and no small text under 8pt. Think of your logo as a rubber stamp: if it would work as a stamp, it will work as an emboss. A clean vector file is essential for a customized leather keychain to look sharp.
For Die-Cast Enamel (Metal Keychains)
Die-casting requires distinct raised metal lines separating each colour area (like a stained-glass window). Your design must have clear, enclosed colour zones — no gradients, no overlapping colours, and a minimum 1mm gap between different colour areas. Specify each colour using Pantone numbers for accurate matching.
For 3D PVC Moulding
PVC moulding supports multiple colours and 3D depth layers. Provide a front-view vector drawing with Pantone colour references for each area. If you want 3D depth, include a side-view sketch or annotate which elements should be raised. The simpler the layer structure, the more precise the result.
Step 4: Choose Your Keychain Shape and Size
The shape of your keychain affects both aesthetics and cost. Here are the common options:
Standard Shapes
Rectangle, circle, oval, heart, star. No setup fee — these use existing tooling. Fastest and cheapest option.
Custom Die-Cut
Any silhouette shape. Follows the outline of your logo or product. Small one-time die-cut fee. Available for acrylic and wood.
Fully Custom 3D
Three-dimensional sculpted shapes. Available in PVC/rubber and die-cast metal. Highest creative freedom but requires a mould.
Size guidance: Most keychains fall between 40mm and 60mm in the longest dimension (excluding the ring and chain). Going larger increases material cost and weight. Going smaller limits design detail. We recommend 45–55mm as the sweet spot for most logos. See the pricing guide for how size and shape affect costs.
Step 5: Review and Approve Your Mockup
After submitting your artwork, any reputable custom keychain Malaysia supplier will produce a digital mockup showing how your logo will appear on the final product. Here is what to check during the approval stage:
Logo placement and proportion — Is the logo centred? Does it fill the printable area without being cramped?
Colour accuracy — Do the mockup colours match your brand guidelines? Confirm Pantone references if colour matching is critical.
Text legibility — Can you read the company name at the actual keychain size? If text looks small on screen, it will be illegible in real life.
Safe zone — Is there adequate clearance between your design and the edge of the keychain? At least 2mm margin is recommended.
Keyring hole position — Where is the attachment hole? Make sure it does not cut into your logo or any important design element.
At Aquaholic, we provide digital mockups within 1–2 working days of receiving your artwork. Revisions are unlimited at the mockup stage — changes only become costly once production has started. For event-specific inspiration, browse our custom keychain ideas for corporate events.
Common Design Mistakes to Avoid
Over the years of handling customised keychain Malaysia orders, we see these mistakes repeatedly. Avoid them to save time and money:
Sending a Tiny Screenshot
A 200×200px logo pulled from your website cannot be enlarged for print. It will appear pixelated and blurry. Always provide the original vector file or a high-resolution export.
Using Gradients on Engraved Items
Laser engraving and embossing cannot reproduce gradual colour transitions. Convert your logo to a flat, single-tone version for these methods.
Including a Tagline in Tiny Text
If your tagline is under 6pt at keychain size, no one will be able to read it. Either enlarge it (and sacrifice logo size) or remove it entirely for this application.
Not Converting Text to Outlines
If your vector file uses fonts, convert all text to outlines (paths) before sending. Otherwise, the supplier’s software may substitute a different font, changing your logo’s appearance.
Design Checklist Before Submitting Your Order
Use this checklist to confirm your artwork is ready before sending it to your keychain supplier:
Logo file is in vector format (AI, EPS, or PDF) or high-res PNG (300 DPI+)
All text has been converted to outlines / paths
Logo has been simplified for small-scale reproduction (no fine details under 0.5mm)
Design is adapted for the chosen customisation method (no gradients for engraving, etc.)
Pantone colour codes are specified (if colour matching is important)
Preferred keychain shape and approximate size have been noted
Logo has been test-printed at actual size (40–60mm) to verify legibility
