Will Anyone Actually Read It? Engraving Depth, Contrast and Text Size on Award Plaques
The sign trade has a rule of thumb that everyone quotes: one inch of letter height for every ten feet of viewing distance. Apply it honestly to an awards ceremony and you get a recipient’s name set 25mm tall so it can be read from the third row. Which would be absurd — and the absurdity is the useful part, because it forces the real question. Nobody in that ballroom is reading the plaque. They are watching the handover, and later they are looking at the photograph.
That reframing changes every engraving decision. An award is not signage. It is a hand-held object read at close range by one person, photographed at arm’s length by a photographer, and then displayed on a desk for years. This guide is what our production team actually uses to size and specify text on the plaque Malaysia buyers choose for engraving: the three real viewing distances, what each material physically does to a mark, the minimum sizes we will not go below, and the one-minute test that predicts the result before anything is cut.
The one-line version: depth does not create legibility — contrast does. A deeper cut on a material that does not change colour when you cut it produces a mark you can feel and cannot read. Choose the material for the contrast you need, then size the text for the photograph.
The three distances an award is actually read at
Before sizing anything, be clear about who is reading and from where. There are only three moments that matter, and only one of them happens on stage.

Design for moment one and moment three. Moment two takes care of itself.
Notice that the recipient’s name — the element everybody agonises over — is the one thing that never needs to be readable at distance. It needs to be perfectly correct at 40cm. That is a proofing problem rather than a sizing one, and it is handled by the honorifics and name-list checks that come before any artwork, not by making the type bigger.
Contrast is not depth: what each material does to a mark
Ask most buyers what makes engraving legible and they say “how deep it is”. Depth only matters where depth creates a colour change or a shadow. On some materials it does a great deal; on others it does almost nothing, and the contrast has to be introduced by a second process. Here is what actually happens on each of the four families we make awards from.
Optical crystal — the mark is inside, not on the surface
The optical crystal used for premium awards is commonly K9, an optical borosilicate crown glass containing around 9% lead oxide, with a refractive index of about 1.517 and a density of roughly 2,510 kg per cubic metre. Those numbers explain both why it looks the way it does and why it behaves the way it does: it is clear, it has real weight in the hand, and it is hard.
Sub-surface laser engraving does not cut the surface at all. A focused pulse creates a microscopic fracture point at a chosen depth inside the block, and thousands of those points together form the image. The surface stays perfectly smooth — you can run a finger across a 3D-engraved crystal and feel nothing. Because each point scatters light, the design appears white against whatever is behind it.
That last part is the trap. A sub-surface engraving read against a dark backdrop is stunning. Read against a bright ballroom wall, or with a spotlight straight through it, it can wash out almost completely — which is precisely the condition of the handover photo. This is why 3D crystal awards are so often specified with an LED base or a frosted rear face: both give the engraving something dark or diffused to sit against. If the crystal is going to be photographed against a bright backdrop, put the organisation’s logo on the front face as a surface etch and reserve the sub-surface work for the depth effect.
Glass — sandblast etching gives you white, reliably
Sandblast etching abrades the surface through a mask, leaving a frosted recess that reads as a solid, matte white mark from any angle and under any light. For pure dependable contrast on a transparent material, nothing beats it — and unlike sub-surface engraving it does not care what is behind the award. The trade-off is fine detail: the abrasive has a physical grain, so hairline strokes and very small text soften. Logos with thin outlines are the usual casualty.
Acrylic — cast versus extruded is not a detail
Acrylic comes in two manufacturing types and they respond to a laser completely differently. Cast acrylic engraves to a bright frosted white with strong contrast, because the harder material fractures cleanly under the beam. Extruded acrylic — softer, cheaper, made for fast cutting — tends to melt rather than fracture, producing a mark that reads clear, dull grey or slightly “wet”. Same machine, same file, same settings; a legible award or a disappointing one, decided entirely by which sheet the blank was made from.
If a laser-engraved acrylic award is what you are after, this is a fair and specific question to put to any supplier: is the blank cast or extruded? It is the sort of thing that never appears on a quotation and completely determines the result.
The other route on acrylic is UV printing, and it has its own rule: printing colour directly onto clear acrylic without a white ink layer beneath it lets light pass straight through, and the colours come back washed out and dark. A white underbase is what makes brand colours look like brand colours. Layer order depends on the viewing side — white first then CMYK for a mark viewed from the printed face, CMYK first then white for a mark read through the acrylic from the other side. Getting that order wrong produces a mirrored or muddy result, so tell your supplier which face is the front.
Wood and metal plates — contrast comes from the plate, not the wood
Lasering directly into wood chars the surface, and how dark that char goes depends on the species and density of the timber — so results vary between batches in a way that crystal and acrylic do not. It looks warm and handsome close up, and it disappears at two metres.
That is why the classic wooden award carries a metal plate. On anodised aluminium, the laser removes the coloured anodised layer to reveal bright metal beneath — a crisp light mark on a dark plate, with excellent contrast and very fine detail. On brass, the text is mechanically cut, typically a few tenths of a millimetre deep, and then paint-filled; the paint is what you read, not the cut. Both give you a personalised element that is a separate component from the award body, which has a useful side effect at proofing stage and a very useful one if a name has to be corrected.
Our text hierarchy: minimum sizes we will not go below
These are the layout defaults our artwork team works to on a typical desk-sized award. They are floors, not targets — go bigger wherever the layout allows. Sizes are cap height, which is the height of a capital letter, not the point size of the font.

Five artwork rules that decide whether it reads
- Send vector, always. A logo supplied as a JPEG at screen resolution has to be traced before it can be engraved, and tracing invents detail that was never there. AI, EPS, PDF or SVG with fonts converted to outlines. This one request removes more artwork delays than any other.
- Drop the thinnest element of the logo, not the size of the whole thing. When a logo will not hold together at award size, the usual culprit is a single hairline rule or an ultra-thin tagline. Most brand guidelines already contain a simplified or single-colour mark for small applications — that is the version to send.
- Serif faces at small sizes are a false economy. The thin strokes and delicate serifs that make a typeface look prestigious on a printed invitation are exactly what a sandblast or rotary cut cannot hold. A clean serif at 5mm is fine; a high-contrast display serif at 3mm is not.
- Leave the edges alone. Keep text clear of the plaque’s outer margin by at least the height of one line. Crystal and glass have polished bevels around the perimeter that distort anything sitting close to them, and a bevel will bend your text visibly in the photograph.
- Decide the longest name before the layout, not after. One row in a name list sets the type size for all forty pieces. Sorting the list by character count takes ten seconds and prevents the layout being redrawn twice — which is also why the when the name list has to be frozen question sits before the artwork stage, never after it.
The photograph test — one minute, before you approve
Digital mockups are viewed the way no award is ever viewed: flat on, at 100% zoom, on a bright screen, against a neutral background. Every mockup looks legible. Here is the check that predicts the real result, and it takes a minute.
Step 1. Print the mockup at exactly 100% scale on plain A4. Not scaled to fit — actual size. If your award is 200mm tall, the print is 200mm tall.
Step 2. Have a colleague hold it at chest height, the way an award is held for a photograph.
Step 3. Stand two metres back and photograph it on your phone. Then look at the photo, not at the paper.
What you learn. Whether the award title survives at photo distance; whether the citation is competing with the name; whether the logo has collapsed into a smudge. Everything that fails this test also fails on the night — and here it costs a sheet of paper instead of a re-run. Do it before you sign the proof, not after.
One extra note for crystal and glass: photograph the test sheet twice, once against a dark wall and once against a bright window. That is the cheapest possible simulation of the sub-surface engraving problem described above, and it will tell you within seconds whether you need a frosted rear face or an LED base. It is also worth thinking about at the same time as packing and handling, because the finish that photographs best is usually the one that shows fingerprints worst — a genuine consideration alongside packing crystal so the engraved face never touches another award.
Common questions
Is laser engraving or UV printing better for an award?
Neither is better in the abstract — they solve different problems. UV printing is the only way to reproduce a full-colour logo, a photograph or a precise brand colour, and it works best on acrylic and on the acrylic plate of a combination award. Engraving gives a permanent, understated mark with no colour at all, which is why it reads as classic on wood, glass and crystal. If your brand identity depends on a specific colour, print; if it depends on gravitas, engrave.
Can you fill an engraving with colour?
On mechanically engraved metal plates, yes — that is the standard method, and the paint fill is what produces the contrast. On sandblasted glass, a colour fill is possible but changes the character of the piece from etched-elegant to printed-looking, so it is usually reserved for a brand colour accent rather than the body text. Sub-surface crystal engraving cannot be colour-filled; the mark is inside the glass.
Why does my logo look thinner on the finished award than on the mockup?
Usually because the mockup is showing you an idealised vector at screen resolution while the process has a physical minimum stroke width. Below about 0.3mm, sandblasting and rotary engraving start to lose the stroke. The fix is to thicken the stroke in the artwork rather than to ask for a deeper cut.
How long does an engraved award take to produce?
Around 20–30 working days after artwork approval depending on quantity, material and engraving complexity, plus roughly 15 days shipping. An express route of 7 working days exists for limited styles and quantities. Individually named pieces do not change the machine time much — they change the approval time.
Can you 3D-engrave inside crystal?
Yes — sub-surface laser engraving builds the design from microscopic points inside the block, leaving the outer surface smooth. It is the most striking option we offer, with the caveat above about backgrounds: give it something dark to read against.
