14 Litres, Not 20: How Backpack Capacity Is Measured and What Each Size Actually Holds
Here is a number you can check yourself. One pack in our own range measures 27 cm wide by 13 cm deep by 40 cm high. Multiply those and you get 14,040 cubic centimetres — 14.0 litres of pure box volume, before a single seam, taper, foam panel or laptop sleeve eats into it. A supplier could market that bag as “20L” and nobody in the procurement chain would catch it, because almost nobody knows how a backpack litre figure is arrived at.
That gap between the headline litre figure and what the bag actually swallows is the commonest source of disappointment in a corporate backpack rollout, and it surfaces at the worst moment — distribution day, when the A4 welcome folder will not go in flat. This article does the arithmetic in public: how litres are measured, what our own catalogue dimensions convert to, the deduction we apply before telling a client what fits, and a method that sizes the pack from the contents instead.
Three ways a factory arrives at a litre figure
No single mandatory standard governs this, which is why comparing two “25L” packs from two suppliers is close to meaningless. A capacity number comes from one of three methods.
1. Fill measurement
The rigorous method: the main compartment is zipped shut, filled with small plastic beads, and the beads poured into a graduated container. It is the only method that accounts for taper, curved panels and internal padding, and it produces the smallest — and truest — number. Serious outdoor brands use it; promotional bag factories rarely do.
2. Geometric approximation
Length × width × height ÷ 1,000. Fast, free and always generous, because a backpack is not a box: it tapers towards the top, the base is rounded, the back panel bulges inward. Source of most litre figures in corporate gifting catalogues.
3. Everything-added
The most misleading version: geometric volume for the main compartment plus the front organiser, the laptop sleeve and both bottle pockets, summed into one headline figure. Not dishonest exactly — those are real volumes — but a laptop sleeve is not usable packing space, and a mesh bottle pocket certainly is not.
The question that settles it: ask your supplier “is that litre figure the main compartment only, and was it measured by fill or calculated from dimensions?” A supplier who can answer is telling you the truth. A supplier who cannot has quoted you a marketing number. Notice what depth does. The slim Oxford pack and the large Oxford pack share the same 13 cm depth, and the 5.4 L difference between them comes entirely from being 7 cm wider and 4 cm taller. Move depth from 13 cm to 17.5 cm on the reflective nylon pack and the volume jumps again. Depth is the dimension that changes capacity fastest — and it is also the dimension that decides whether the pack reads as a smart office bag or a bulky one. That trade-off between depth, silhouette and how the loaded pack sits against the spine connects directly to how the harness shares that weight across your back.
The deduction: why box volume is never usable volume
Our working rule of thumb, applied to every quotation where a client asks “will this fit?”, is to knock 15–25% off the geometric box volume. Four things consume that space, and knowing which one applies to your model tells you where in the band to land.
- Taper. Almost every backpack narrows towards the top so it does not press on the back of the head. The external width is measured at the widest point, which exists for only a few centimetres of the bag’s height.
- Padding and lining. The back panel foam, the frame sheet and a full ribbon lining sit inside the external measurement. On a padded laptop pack this alone can be a couple of centimetres of depth.
- Compartment walls. Every divider is fabric plus seam allowance, and a three-compartment pack has more internal structure than a two-compartment one of the same external size. More compartments means better organisation and less raw volume.
- The laptop sleeve. If it is a sleeve inside the main compartment rather than a separate back-panel channel, whatever goes in it comes out of your packing space.
Apply the deduction at the top of the range (25%) for heavily padded three-compartment commuter packs, and at the bottom (15%) for simple single-compartment daypacks and drawstring-style bags with minimal internal structure.
What each size band actually holds
Litres are abstract; objects are not. This is the table we work from when a client describes a use case rather than a size, written deliberately in things people recognise.

The most useful column is “does not hold”, because that is where rollouts go wrong. If your welcome kit includes an A4 folder, you need internal height and width that clear A4 with room to slide in without bending — check it against the pack, not the litre figure.
Gussets, expansion and the depth that moves
A gusset is the strip of fabric that gives a compartment its depth — the side wall, effectively. How it is constructed decides whether a pack has a fixed volume or a variable one, and this is where the “expandable capacity” claims on catalogue pages come from.
A flat gusset gives a fixed depth and a clean office silhouette; the bag looks the same empty or full, but it will not take anything thicker than its stated depth. A pleated or folded gusset is stitched with a fold that opens under load, so a 13 cm compartment can push out to 16 or 17 cm — good for capacity, less good if you are buying the pack because it looks slim in a client meeting. An expansion zip is a second zip that releases a hidden panel of fabric, giving a step change in depth on demand. Each of these behaves differently once branded, because a logo sitting across a gusset fold will crease along the fold line every time the bag expands — one of several reasons decorating a panel that is already full of pockets needs to be planned at the same time as capacity.
Two construction points change usable volume more than buyers expect. A U-shaped or clamshell opening, with the zip running three sides of the panel, gives access to the whole interior; a top-loading opening with a short zip turns the bottom third of a tall pack into a place things disappear into. And a stiffened base board costs a centimetre of internal height but stops the pack sagging into a pear shape, protecting both silhouette and lower-panel branding.
Cabin carry: the dimension that gets a pack stopped
If your programme involves travel — a regional sales team, a roadshow crew moving between states, a conference delegate gift for visiting attendees — cabin compliance is worth a minute of thought. Airlines publish their own cabin dimension limits and weight caps and they genuinely differ between carriers and between fare types, so the only correct answer is to check the specific airline your people fly. What is consistent is which dimension causes trouble.
It is almost never height or width. It is depth, measured when the pack is full. A pack listed at 13 cm deep with a flat gusset stays close to 13 cm loaded and drops into a sizer without drama; one listed at 17.5 cm with a pleated gusset and a stuffed front organiser can measure well past 20 cm once someone has packed shoes in it. Specify a flat gusset and a modest depth, and test the pack loaded — not empty. Weight caps are the second trap: a heavier vegan-leather or reinforced pack eats into a cabin weight allowance before anything goes inside it.
The reverse brief: size the bag from the contents
This is the process we ask clients to run before they choose a model, and it takes about ten minutes. It has caught more sizing errors than any conversation about litres ever has.
- Physically assemble the contents. Put the actual laptop, the actual welcome folder, the actual bottle and the actual notebook on a table. Not a list — the objects.
- Measure the largest flat item. Usually the laptop or the A4 folder. Its length and width set the minimum internal panel size, and no amount of extra litres compensates for a bag that is 2 cm too narrow.
- Stack the rest and measure the stack depth. That is your minimum gusset depth, plus a centimetre for the lining.
- Add the “what people put in anyway” allowance. An umbrella, a lunch container, a small towel. In this climate all three appear whether you planned for them or not.
- Compare against external dimensions, not litres. Take the external figures from the product page, subtract 2–3 cm in each direction for padding and seams, and check your stack still fits.
- Confirm on the sample. Put the real contents into the real sample before you approve the run. Ten minutes here removes the entire class of distribution-day problems.
A note on over-sizing: buyers often round up “to be safe”. A pack that is too large is not neutral — people fill it, the load gets heavier, the silhouette sags, and the branding panel distorts. Size to the contents plus one small allowance, not to the biggest thing anyone might one day carry.

Common questions
Why do you publish centimetres instead of litres?
Because a centimetre figure can be verified and a litre figure cannot. Two suppliers can label near-identical bags 18L and 25L depending on which method they used. Dimensions let you check against your own contents and compare models on the same basis.
What size backpack fits a 15.6 inch laptop and an A4 welcome folder?
Work from panel size rather than volume. You want a pack whose external width and height comfortably clear both items with a few centimetres of allowance for padding and seams — in our range that points to the larger Oxford and nylon models rather than the slim commuter profile. Can you make one style in two sizes for the same programme?
